How to set up firm staff notification settings
Staff member notifications help your team stay informed as clients move through the intake process in DecisionVault. You can control who receives notifications, which matters they receive notifications for, and whether notifications apply to all matters or only assigned matters.
Note: Client reminder emails and client-facing notifications are configured separately under Client Notifications.
There are currently three email notification of things that happen in the app:
- A client creates an account and begins a questionnaire
- A client submits a questionnaire
- A client uploads files or makes updates after submission
(we're working on adding more)
Notifications Setup
You can administer who gets notified by these in your firm settings:

- All Matters
- Assigned Matters
- None
For "assigned matters" the firm staff user will only receive notifications if they are assigned to a matter. You can change around who is assigned on the "Firm Staff" tab once you open up a matter:

Some example configurations
- Example 1: All notifications go to everyone
- Example 2: No client notifications to the funding coordinator
- Example 3: The Client Coordinator gets the notifications and assigns the correct staff
- Example 4: Separated notifications based on type of questionnaire
Example 1: All notifications go to everyone
This is the default setup in DecisionVault. By default every firm staff user gets assigned to each matter, and each firm staff user gets email notifications for all matters.

Example 2: No client notifications to the funding coordinator
The funding coordinator is not involved until later in the process - so we don't need to send them email notifications. Auto-assign is turned off, and email notifications are turned off as well:


Example 3: The Client Coordinator gets the notifications and assigns the correct staff
The client coordinator gets notified of new accounts that are created (or creates the matter and invites the client to it). They assign the correct firm staff the the matter, who then receive notifications for those matters:


Example 4: Separated notifications based on type of questionnaire
The probate team wants to get notified of events on the probate matters, and the estate planning team on the estate planning matters. This is accomplished by auto-assigning probate matters to the probate team automatically (and likewise EP matters to EP team) - and then setting the notification to "Assigned Matters".
