How to set up the integration between Lawcus and DecisionVault?

Setting up the integration involves the following steps:

  1. Set up Custom Fields in Lawcus
  2. Authenticate Lawcus with DecisionVault
  3. Map the Custom Fields to DecisionVault Fields
  4. Sync a Matter and Contacts to Lawcus
  5. Trigger Automations in Lawcus from DecisionVault

1. Set up Custom Fields in Lawcus

There are several standard DecisionVault fields that can sync to Lawcus by default:

To sync additional information over you'll have to create custom fields in Lawcus to receive this info from DecisionVault.


You can do this in Lawcus under Settings > Firm Settings > Custom Fields ( here)


The correct settings for these fields are:

Contact - Also Known As:

  • Contact Custom Field
  • Type: Text

Contact - Preferred Name:

  • Contact Custom Field
  • Type: Text

Contact - Date of Death:

  • Contact Custom Field
  • Type: Date

Contact - Social Security Number:

  • Contact Custom Field
  • Type: Text

Contact - Status (living or deceased):

  • Contact Custom Field
  • Type: Pick List
  • Options: Living, Deceased, Incapacitated

Contact - United States Citizen:

  • Contact Custom Field
  • Type: Pick List
  • Options: Unknown, United States Citizen, Not United States Citizen

Contact - United States Resident:

  • Contact Custom Field
  • Type: Text
  • this will show up as "Yes" or " " (blank)


2. Authenticate Lawcus with DecisionVault

To authenticate Lawcus with DecisionVault go to the integrations page - and look for the "Authenticate with Lawcus" button. Follow the prompts to login to Lawcus and to give DecisionVault access. 

Note: this only stores an 'access token' in DecisionVault to access Lawcus on your behalf. We don't have access to your login details, and you can always remove DecisionVault's access on the integration page by clicking 'remove'.

3. Map the Custom Fields to DecisionVault Fields

After authenticating with Lawcus you will get redirected automatically to the Custom Fields mapping setup page. From here you can pick the workflow & stage inside that workflow, where new matters will be created by DecisionVault. and map fields.

This lists the DecisionVault field on the left, and the available custom fields that were found in your Lawcus account (that haven't been mapped yet) on the right hand side -- available to map them.

To map matter fields, you need to select the questionnaire, then you select which Lawcus field will be mapped to the DecisionVault field. Below you can see how the custom fields are reflected in Lawcus.

4. Sync a Matter and Contacts to Lawcus

After you map the custom fields, when you open up a matter detail screen on the attorney side of DecisionVault you can click "Integrations" on the right hand side.

For a matter that has not yet been synced with Lawcus - DecisionVault will first give you the option to link the matter to an existing one in Lawcus, by searching in your matters. Or you have the option to just create a new matter in Lawcus.

If you want to link an existing matter, type in the matter name in the search box and then click "Link to this matter".

After this - you get to the sync screen where you can link the matter and existing contacts in Lawcus. After linking the contacts click "Link Matter and Contacts".

After linking the matter and contact, you will be able to select which contacts you want to sync over to Lawcus. You are able to update existing contacts or create new contacts in Lawcus. After selecting the contacts click "Start Sync".

After the sync is complete you will be able to review the synced contacts and matter in Lawcus by clicking the link.

5. Trigger Automations in Lawcus from Decisionvault

It's possible to trigger automations in Lawcus when the client submits their questionnaire in DecisionVault, through our direct integration.

How does it work?

There are 3 parts to making this work:

  • We include the unique identifier of the Lawcus Lead or Matter in the standard link that you send the client to create an account and start on their questionnaire.
  • Then, when the client submits their questionnaire DecisionVault sets a certain custom field in Lawcus on that matter.
  • This can be set as the trigger for automation flows in Lawcus (e.g. to create tasks or stop emailing client reminders)

How to set it up?


1. Create a custom field in Lawcus

Create a Matter level custom field in Lawcus, make it a "Checkbox" type and give it a name (e.g. "DV Questionnaire Submitted")

2. Map this new custom field in DecisionVault

Open your Lawcus integration settings in DecisionVault (from the integration settings page) and map the new custom field.

3. Set up / change the standard link

In your Lawcus email template change the standard link to include the matter's unique identifier.

The following gets added to the end of the standard link:

/lwc/${Matter.Uuid}

This results in links that look like this:

4. Set up the automation in Lawcus

You want to create an automation that triggers when the matter gets updated - and to trigger it at the right time you'll want to set the following entry conditions:

  • DV Questionnaire Submitted is "Yes" (the custom field you created in step 1)
  • Stage is (some stage in your pipeline).

By including the stage you guard against the automation executing erroneously while in other stages.

5. Finished

Now a client can click the link from their email, create an account and start on the questionnaire - and then when they submit the questionnaire the workflow in Lawcus gets triggered.
